YOUR IMPACT

As a Documentation Specialist, you’ll lead the preparation and review of complex lease and loan documents, mentor and train junior team members, and act as a key resource for legal closings and compliance. You’ll ensure timely, accurate, and complete documentation for both standard and non-standard transactions while collaborating closely with internal teams and external stakeholders. This role requires attention to detail, professionalism under pressure, and the ability to manage multiple transactions at once.

ESSENTIAL RESPONSIBILITIES

Documentation Preparation & Review

  • Manage and complete documentation requests for House, Broker, and TPO deals with a high level of accuracy.
  • Review and approve documentation packages, ensuring alignment with credit conditions and compliance requirements.
  • Act as the lead on legal closings, liaising with external legal counsel, ensuring accuracy in title transfers, registrations, and legal agreements.
  • Conduct collateral searches and PPSA registrations, waivers, and discharges.
  • Identify and resolve issues that could delay funding or impact deal execution.
  • Serve as an escalation point for complex documentation or funding issues.

Deal Closing & Execution

  • Oversee the closing process for standard and non-standard deals, including legal documentation and structured transactions.
  • Ensure clean, organized documentation for Funding review.
  • Coordinate with clients, council, lenders, brokers, and internal stakeholders to ensure all pre-funding requirements are met.
  • Monitor for deal deficiencies and lead timely resolutions.

Client & Internal Relationship Management

  • Build strong relationships with Account Managers and administrative staff to ensure deals move smoothly through documentation and funding.
  • Handle escalated client or partner inquiries related to documentation or closing.
  • Support portfolio maintenance needs such as discharges, file updates, and equipment sales.

QUALIFICATIONS & EXPERIENCE 

  • 2–5 years of experience in a documentation, funding, legal, or financial services role, preferably in equipment finance or leasing.
  • Experience handling legal closings, PPSA registrations, and managing multiple concurrent transactions.
  • Proven ability to lead training or mentoring initiatives.
  • Strong knowledge of documentation processes, credit conditions, and compliance in lending.
  • Proficiency in Microsoft Office, especially Excel and Word; experience using LS or similar internal systems is an asset.
  • Bachelor’s degree in Business, Commerce, or a related field is preferred.
